Title: Contracts Administrator

Job Location: Hauppauge, NY

Overview: Advanced Acoustic Concepts is seeking a Contracts Administrator to support our Hauppauge, NY location. This position will be responsible for administering and monitoring contract performance on government contracts. This position may assist with the negotiation and administration of agreements between the company/customers/subcontractors/vendors ensuring adherence to company policies and procedures.


  • Works with Contract Lead to administer and monitor subcontractor performance on government contracts
  • Provides support for the negotiation and administration of agreements between the company/ subcontractors/vendors ensuring adherence to company policies and procedures
  • Responsible for reviewing standard solicitation terms, creating and issuing subcontract request for proposals, handling contract award confirmations, interpreting agreement terms and conditions and identifying potential issues, reviewing agreement amendments / modifications and incorporating changes under the advisement and direction of the Contracts Lead
  • Reviews contractual documents to ensure adherence to company policy, government specifications and requirements, identifies risks and areas of concern on contractual terms and conditions
  • Responds to standard inquiries regarding contract obligations and revisions
  • Assists/supports fulfillment of contract deliverables, billings and cash collections
  • Assists in proposal preparation for customer requirements
  • Prepares standard price proposals
  • Participates in truthful cost or pricing implementation/sweeps under contract lead direction
  • Monitors contract performance and cost controls and ensures compliance with contract terms
  • Assists in preparing routine teaming agreements, NDA's, MOU's, MOA's, and domestic and international consultant/sales representative agreements and other contractual agreements
  • Under direction, prepares contractual documents, including the preparation of contract terms and conditions, and assembles contract documentation package
  • Participates in management review of proposals/contracts and in the conduct of program reviews
  • Supports, communicates, reinforces and defends AAC' mission, values and culture

Secondary Responsibilities:

  • Maintain effective internal and external customer relations
  • May assist in the preparation of export license applications
  • May assist with subcontract negotiation and management
  • Perform special projects as requested


  • Bachelors degree in related discipline.
  • Knowledge of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS)
  • Basic understanding of contract/Purchase Order terms and conditions and detailed knowledge of the government contracting process including sole source and competitive procurements
  • Knowledge of the terms and conditions appropriate for different contract types (FFP, CPFF, CPIF, T&M, IDIQ, etc.) and their proper use
  • Knowledge of government intellectual property (IP)/ software and data rights clauses and IP marking guidelines
  • Knowledge of source selection / evaluation process including cost and price analysis
  • Knowledge of requirements for administration of government property
  • Knowledge of government contract administration duties including subcontract flow downs, change management, inspection, acceptance, payment, warranty, close-out and records retention
  • Knowledge and thorough understanding of proper drafting, negotiation and use of contracts, subcontracts, P.O.'s teaming and other forms of agreements
  • Excellent verbal and written communication skills
  • Basic understanding of Contract / agreement briefings, negotiation and review
  • Basic knowledge of monitoring contracts/subcontracts
  • Membership in National Contract Management Association (NCMA) and CPCM certification desired
  • Paralegal certificate desired
  • General computer proficiency and familiarity with Microsoft Office programs

Physical Requirements:

  • Lifting up to 5 lbs up to 10% of time
  • Walking, Climbing, Bending, Standing, Stooping: up to 10% of time
  • Sitting: up to 75% of time

AAC works on a 9/80 compressed work schedule, where employees work 80 hours in 2 weeks, and off every other Friday.
