Position Summary:


We have an exciting opportunity to join our team as a Program Coordinator.



The Program Coordinator is responsible for the day to day office management and administrative organization of the Child and Adolescent Psychiatry Service and provides administrative support to the Chief and Director of Service and the Deputy Director for Child and Adolescent Psychiatry at Bellevue Hospital Center. The Program Coordinator reports directly to the Director of Public Psychiatry Administration with an indirect reporting relationship to the Chief of Service and the Deputy Director.

Job Responsibilities:

  • Other Organize special events, complete special projects and perform other job related duties as requested.
  • Office environment Establish a welcoming and professional atmosphere in all administrative spaces in the Department.
  • Calendar Management for Director and Deputy Director, including scheduling for complex meetings with senior faculty, staff and outside colleagues and coordination of logistics including meeting space and travel as necessary
  • Information management:
    Respond appropriately to requests for information, handling sensitive and confidential information with appropriate safeguards.
    Create and maintain filing and other organizational systems, track deadlines and deliverables independently.
    Compile departmental and faculty information as requested, including verifying and editing, using basic research and administrative methods.
    Develop and maintain Department mailing lists to ensure accurate communications for the Department.
    Maintain expense log, complete P-card reconciliations as required for compliance with financial procedures
  • Hiring ,Credentialing & Scheduling : Serve as point person and coordinator for all transactions related to hiring and scheduling NYU clinical or research faculty and staff at Bellevue, including:
    Ensuring that credentialing, CSC HR and Department of Child and Adolescent Psychiatry requirements are met.
    Coordinating moonlighting schedules and payroll
  • Compliance and Reporting: Independently manage all requests, records and documents related to NYU timekeeping, schedules, OPPEs, NYU faculty and staff compliance, vacation monitoring, training and any other requirements set by Bellevue, NYU or the affiliation office., including:
    Coordinate dissemination of and adherence to all relevant hospital policies and procedures
    Monitor credentialing of faculty and time and leave documentation for faculty and staff.
    Oversee timesheets for Bellevue and NYU systems.

Minimum Qualifications:


To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

Preferred Qualifications:


Bachelors Degree required
